These Terms & Conditions ("Terms") govern your booking and participation in any trip, tour, or experience offered by Out Front Tours LLC ("Out Front Tours," "we," "our," or "us"). By booking a trip with us, you agree to these Terms in full. Please read them carefully before booking.
1. Who These Trips Are For
Out Front Tours trips are designed for sapphic travelers, including lesbian, bisexual, pansexual, and queer women, as well as non-binary, genderfluid, and transgender individuals who find community in sapphic spaces. Our trips are open to travelers of all backgrounds and countries of residence or origin, including solo travelers, couples, and friend groups.
Participants must be at least 18 years old at the time of travel. There is no maximum age requirement.
We reserve the right to refuse or cancel a booking at our discretion, including where we reasonably believe a participant does not align with the community and purpose of our trips, or where a participant's conduct poses a risk to the safety or experience of the group.
2. Booking and Payment
A deposit of 20% is required to secure your spot on a trip. The remaining balance is due according to the payment schedule provided at the time of booking, typically through installment payments managed via our booking platform (WeTravel) or direct payment processor (Stripe).
Failure to complete payment according to the agreed schedule may result in cancellation of your booking, subject to the cancellation terms below.
Group Bookings. Where multiple travelers book together as part of the same group or reservation, the person who completes the original booking ("Lead Booker") is responsible for ensuring all members of their group provide accurate information and agree to these Terms. The Lead Booker is also responsible for relaying any trip communications, updates, or changes to the rest of their group.
Trip prices are listed in the currency specified at booking and do not include international flights, travel insurance, visa fees, optional excursions, gratuities, or personal expenses unless explicitly stated in the itinerary.
Pricing Adjustments. Out Front Tours reserves the right to adjust published pricing in the event of significant, unforeseen cost changes — including currency exchange rate fluctuations, changes in government taxes or fees, or fuel surcharges — that occur between the time of booking and the trip departure date. Where possible, we will provide advance notice of any such adjustment. Adjustments will not apply retroactively to amounts already paid.
3. What's Included
Each trip itinerary specifies its included inclusions in detail. In general, trip packages include accommodation, ground transportation, guided tours and activities, select meals, a trip leader, and where needed, a local on-the-ground guide. Please refer to your specific trip itinerary for a full breakdown of inclusions and exclusions.
4. Cancellation Policy
Our cancellation policy reflects the timeline on which we are contractually required to pay our vendors — including accommodations, ground operators, guides, and activity providers — to secure your group's pricing and availability. Once those payments are made, those funds are not recoverable by us, which is reflected in the structure below:
More than 91 days before departure: A $350 administrative fee applies. The remainder of overall payments made will be issued as a refund.
75–90 days before departure: Your deposit, fully and in whole, is non-refundable. Any installment payments made beyond the deposit will be refunded.
Less than 75 days before departure: All trip costs are non-refundable, as this is typically the period in which final vendor payments are due.
All cancellation requests must be submitted in writing to hello@outfronttours.com and must include the traveler's name, booking reference, and trip name. Please allow up to 5 business days for us to process and acknowledge your cancellation. Your cancellation is not considered effective until you receive written acknowledgment from us, and the applicable policy tier is determined by the date we receive your written request — not the date of the triggering event.
If we cancel a trip for business or operational reasons within our control, travelers will be offered a full refund or the option to transfer their payment to a future trip.
If we cancel a trip due to circumstances beyond our reasonable control — including but not limited to natural disasters, extreme weather, government travel restrictions or advisories, civil unrest, war, pandemic, or other force majeure events — we will refund any amounts we are able to recover from our vendors and suppliers. Any non-recoverable payments will be issued to travelers as a credit voucher, valid for 2 years toward a future Out Front Tours trip. We will communicate transparently about what has been recovered and make every reasonable effort to minimize traveler losses in these situations.
5. Travel Insurance
Travel insurance is mandatory for all travelers. You must carry comprehensive travel insurance for the duration of your trip, including coverage for trip cancellation, emergency medical expenses, and emergency evacuation. We strongly encourage travelers to purchase Cancel For Any Reason (CFAR) coverage at the time of booking to protect against unforeseen changes to your plans.
Proof of insurance is required and you must show proof of your policy prior to departure, by the deadline specified in your trip's pre-departure checklist. Failure to provide proof of insurance by this deadline gives Out Front Tours the right to cancel your spot on the trip, subject to our standard cancellation policy outlined above.
Out Front Tours is not affiliated with any specific insurance provider and does not receive compensation for insurance recommendations, and is not responsible for verifying the adequacy of any policy a traveler obtains.
6. Assumption of Risk and Release of Liability
Travel inherently involves risks, including but not limited to physical injury, illness, accident, theft, loss of property, transportation delays or disruptions, political or civil unrest, natural disasters, and other unforeseen events. By booking a trip with Out Front Tours, you acknowledge and voluntarily assume these risks.
To the fullest extent permitted by law, you release, waive, and discharge Out Front Tours LLC, its founders, employees, contractors, trip leaders, photographers, and affiliated guides and vendors from any and all claims, liabilities, damages, or causes of action arising from your participation in a trip, except where such claims arise from our gross negligence or willful misconduct.
Out Front Tours LLC acts as a facilitator and coordinator of travel arrangements with third-party vendors, including accommodations, transportation providers, ground operators, and activity providers. We are not liable for the acts, errors, omissions, negligence, or misconduct of these independent third parties.
Waiver. Travelers may be required to review and sign a liability waiver prior to departure. Failure to complete a required waiver by the specified deadline may result in cancellation of your trip without refund.
7. Health, Fitness, and Food
Some trip activities may require a reasonable level of physical fitness or mobility. It is your responsibility to assess your own physical condition and abilities and consult with a medical professional prior to booking if you have any health concerns relevant to your trip's activities. Please notify us of any medical conditions, allergies, or accessibility needs in advance of travel so we can make reasonable accommodations where possible.
Dietary Requirements. We will make reasonable efforts to accommodate dietary restrictions, allergies, and intolerances when notified in advance, but we cannot guarantee that every request can be fulfilled at every meal or destination, particularly in regions where certain accommodations are not locally available. It is the traveler's responsibility to communicate their needs clearly and to exercise their own judgment about what they consume during the trip. Out Front Tours is not responsible for illness or allergic reaction resulting from food consumed during the trip, whether provided as part of the itinerary or obtained independently.
8. Conduct
We are committed to maintaining a safe, respectful, and inclusive environment for all travelers and staff. Out Front Tours reserves the right to remove any participant from a trip, without refund, whose behavior is found to be disruptive, unsafe, harassing, or otherwise harmful to the group, our staff, our guides, our photographers, or local communities we visit. In such cases, we may discontinue further assistance to that participant, including with respect to onward travel arrangements.
Alcohol and Substances. Out Front Tours has a zero-tolerance policy for illegal drug use during any trip or trip-related activity; violation will result in immediate removal from the trip without refund. Travelers who choose to drink alcohol are expected to do so responsibly. Intoxication that endangers the traveler, other participants, or the group's ability to safely participate in an activity may result in exclusion from that activity, at the discretion of the trip leader.
Damages. Travelers are financially responsible for any loss or damage they cause to accommodations, vehicles, equipment, or vendor property during a trip, and agree to reimburse Out Front Tours or the applicable vendor directly for the cost of any such damage.
9. Travel Documents and Requirements
Travelers are solely responsible for ensuring they possess valid passports, visas, vaccinations, and any other documentation required for their trip. Out Front Tours is not responsible for any consequences resulting from a traveler's failure to obtain proper travel documentation.
10. Changes to Itinerary
While we make every effort to deliver the itinerary as advertised, trip components (including accommodations, activities, and schedules) may change due to circumstances beyond our control, including weather, local conditions, vendor availability, or safety concerns. We will make reasonable efforts to provide comparable alternatives where changes are necessary.
11. Feedback and Complaints
If you experience an issue during your trip, please raise it with your trip leader as soon as possible so we can attempt to resolve it in real time. If the issue remains unresolved, you may submit a formal written complaint to hello@outfronttours.comwithin 7 days of the trip's conclusion. We will acknowledge receipt of your complaint within 5 business days and work to address it as promptly as possible.
12. Intellectual Property and Content
Photos, videos, and content captured during Out Front Tours trips may be used by Out Front Tours for promotional and marketing purposes, including on our website and social media channels, unless you notify us in writing prior to your trip that you do not consent to this use.
13. Communications
By booking a trip with us, you agree to receive trip-related communications via email or your preferred messaging platform. You may also be added to our general mailing list for updates about future trips and promotions; you can unsubscribe from marketing communications at any time without affecting your trip booking.
14. Governing Law and Disputes
These Terms are governed by the laws of the State of Texas, without regard to conflict of law principles. Any disputes arising from these Terms or your participation in an Out Front Tours trip shall be resolved exclusively in the state or federal courts located in Texas, and you consent to the personal jurisdiction of such courts.
15. Changes to These Terms
We may update these Terms from time to time. The version in effect at the time of your booking will govern that booking. Continued use of our website or services after changes are posted constitutes acceptance of the updated Terms.
