This Refund Policy summarizes how cancellations, refunds, and vouchers are handled for Out Front Tours trips. It's meant to give you a quick, clear reference — for full details, this policy should be read alongside our Terms & Conditions.

1. Booking & Deposit

A 20% deposit is required to secure your spot on a trip. Once your deposit is paid and your spot is confirmed, the remaining balance is due according to the payment schedule provided at booking (either 60 or 90 days before your trip), typically managed through WeTravel or Stripe.

Failure to complete payment according to the agreed schedule may result in cancellation of your booking, subject to the policy below.

2. Cancellation Policy (Traveler-Initiated)

Our cancellation policy reflects the timeline on which we are contractually required to pay our vendors — accommodations, ground operators, guides, and activity providers — to secure your group's pricing and availability. Once those payments are made, those funds are not recoverable by us. That's reflected in the structure below:

75–90 days before departure Your deposit is non-refundable. Any installment payments made beyond the deposit are refunded.

Less than 75 days before departure All trip costs are non-refundable, as this is typically the window in which final vendor payments are due.

3. How to Cancel

All cancellation requests must be submitted in writing to hello@outfronttours.com and must include:

  • Traveler’s full name

  • Booking reference

  • Trip name

Please allow up to 5 business days for us to process and acknowledge your cancellation. Your cancellation is not effective until you receive written confirmation from us — the policy tier that applies is based on the date we receive your request, not the date you decide to cancel.

4. Transferring Your Spot

If you're unable to travel, you may be able to transfer your booking to another individual. Contact us as soon as possible at hello@outfronttours.com to discuss availability and next steps for your specific trip.

5. If Out Front Tours Cancels a Trip

If we need to cancel a trip for reasons within our control, you'll be offered a full refund or the option to transfer your payment to a future trip.

If we cancel a trip due to circumstances beyond our reasonable control — including natural disasters, extreme weather, government travel restrictions or advisories, civil unrest, war, pandemic, or other force majeure events — we will refund any amounts we're able to recover from our vendors and suppliers. Any non-recoverable payments will be issued as a travel voucher, valid for a future Out Front Tours trip. We'll always communicate transparently with you about what's been recovered and do everything we can to minimize your losses in these situations.

6. Travel Insurance

Travel insurance is mandatory for all Out Front Tours travelers, including coverage for trip cancellation, emergency medical expenses, and emergency evacuation.

We strongly encourage Cancel For Any Reason (CFAR) coverage at the time of booking — this is often the best way to protect yourself financially if your plans change for a reason outside our cancellation policy above.

Proof of insurance must be shown prior to departure. This policy exists to protect you: unexpected trip interruptions, medical emergencies, and travel delays happen, and insurance is what gives you options beyond what we're able to offer through our own refund structure.
